Tenant Information

Once you have registered your interest in a property, we will contact you to arrange a suitable time to facilitate a viewing with one of our agents. If you then decide that you are interested in renting the property, we will liaise with the landlord on your behalf and inform them of your interest. If accepted, a refundable holding deposit will be required pending the provision of documentation and appropriate checks. The holding deposit will be returned to you if your application is rejected.

Documentation

Every potential tenant (18 years and over) must complete an online application form detailing two referees. A third-party referencing agency is used to confirm the references supplied. Once an online application has been completed, and your offer has been accepted by the landlord, we will require evidence of income and other necessary documentation to be provided within 48 hours. If these are not received, the property will be released back onto the letting market until we receive the appropriate paperwork.

Documentation required:

  • Bank statements (last 3 months)
  • Payslips (last 3 months) or SA302 for self-employed applicants
  • Photographic ID and proof of current address such as utility bill, council tax bill, UK Driving Licence or mortgage statement.

*Please note that we cannot accept Provisional Driving Licences, mobile phone bills or credit card statements.

Right to Rent

All landlords are required by law to check that all tenants who rent properties from them have the legal right to live in the UK. This means that before you are allowed to rent a property, letting agencies must undertake the appropriate passport and immigration status checks before a tenant can occupy a property.

Acceptable Documents:

EEA or Swiss citizens:

  • A valid passport
  • A valid EEA/Swiss national ID card
  • A valid UK driving licence and original UK birth certificate (for British citizens only)

Other nationalities:

  • A passport
  • A valid visa or a Biometric Residence Permit (BRP)

Please note: We require all prospective tenants to attend our office in person when bringing in the requested original documentation. Copies of the documents will be certified by us and held securely on file.

Deposit

A deposit equal to five weeks rent will be required in order for your tenancy to go ahead. This shall be registered with a government approved Tenancy Deposit Scheme for your protection.

References

You will receive an introductory call from our letting office to confirm the details of your tenancy application (subject to contract) and update you on the progress of your references. Occasionally, to avoid a delay to the start of your tenancy, we may ask you to assist in prompting your employer or landlord to supply a reference. A tenancy contract will be sent to you electronically once we have received a satisfactory reference report and it has been approved by the landlord.

The Agreement

Once you receive the electronic copy of the tenancy contract, it is important that you carefully review its contents. If you are satisfied and have no subsequent questions, then your deposit will be payable. All parties will then arrange a mutually appropriate time to sign the contract.

Moving-in 

Rent is payable (in cleared funds) at least two days prior to the start of your tenancy start date. Once the rent payment has been received, we will arrange an appointment for you to collect the keys either from our office or at the property. You will be checked into the property by an inventory clerk and meter readings will be taken at the same time. The relevant utilities will then be transferred into your name. We would advise that you do not book your removal van until your references have been accepted by the landlord and you have a confirmed moving in date.

Dedicated Management Department

All tenants in properties managed by Paran Property Services have access to our dedicated property management team, who will assist with any property related issues. All contractors sent to carry out repairs and maintenance are vetted and appropriately insured. We also operate an out of office hours emergency telephone line.

Client Money Protection

We are members of the UKALA Client Money Protection Scheme. This provides assurance and peace of mind to landlords and tenants that their money remains secure and safe when being handled by us. In the event that monies are misappropriated, Client Money Protection facilitates the return of these monies to landlords and/or tenants.

Property Redress Scheme

We would like to assure you that all Paran Property agents are experienced and trained professionals who are required to undertake regular relevant training. We keep up to date with complex legislative changes and best practice and adhere to a nationally recognised Code of Practice. We are also members of an independent, government-approved Property Redress Scheme in the event that you have a complaint which cannot be resolved via our internal complaints procedure.

Household Bills

Tenants are responsible for payment of the following:

  • Gas and electricity
  • Water Rates and sewage charges
  • Council tax
  • Telephone/TV charges

Landlords are responsible for ground rent and service charges (where applicable).

How do we ensure our tenants are protected?

We are a registered member of the UKALA Client Money Protection Scheme which ensures tenant monies are handled in the correct manner. Renewal/End of Tenancy

Within the last three months of your tenancy, we will contact you and your landlord to find out if you wish to renew your tenancy, in order to ensure that all your renewal paperwork is completed in time. If you do not wish to renew your tenancy, we will arrange for an inspection on your last day in the property and organise for your deposit to be released.
